Refunds are processed on a case-by-case basis under the following conditions:

  • Refunds are issued to the original payment method used at the time of purchase unless otherwise agreed upon.

2. Refund Eligibility

2.1 Products

We offer refunds for products under the following conditions:

  • The product was defective or damaged upon delivery.
  • The wrong product was shipped.
  • The product was returned in unused condition with all original packaging, accessories, and tags intact.

Refunds will not be issued in the following cases:

  • Products that show signs of use, installation, or tampering.
  • Products returned without prior authorization (see Section 4: Return Authorization).
  • Products purchased as part of a final sale, clearance, or promotional offer (unless defective).

2.2 Services

Refunds for services such as installation, repair, or maintenance will only be issued if:

  • The service was not completed as promised due to an error on our part.
  • The customer cancels the service at least 48 hours before the scheduled appointment.

Refunds will not be provided for services that were already performed or if the customer cancels after the cancellation deadline.


3. Refund Request Timeframes

Refund requests must be initiated within the following timeframes:

  • Physical Products: Refund requests must be submitted within 14 days of delivery.
  • Digital or Downloadable Products: Non Refundable
  • Services: Refund requests must be submitted within 48 hours of the service appointment or within 5 days of unsatisfactory service.

Requests submitted after the applicable timeframes will not be considered.


4. Return Authorization

All refunds for physical products require prior Return Authorization (RA) approval:

  • To obtain RA approval, please contact our customer service team at Koolair.dk@gmail.com with your order number, reason for the return, and photos (if applicable).
  • Once approved, you will receive a Return Merchandise Authorization (RMA) number and return instructions.
  • Items returned without an RMA number will not be eligible for a refund.

5. Return Shipping

For approved refunds, customers are responsible for return shipping costs unless:

  • The product was damaged or defective upon delivery.
  • The wrong item was shipped.

We recommend using a trackable shipping service or purchasing shipping insurance. We are not responsible for returned items lost or damaged during transit.


6. Inspection and Approval of Returns

Once your return is received, it will be inspected within 5–7 business days to ensure compliance with our refund eligibility criteria.

  • If approved, your refund will be processed within 10-15 business days and credited to your original payment method.
  • If denied, we will notify you via email with the reason for denial.

7. Non-Refundable Items and Fees

The following items and fees are non-refundable:

  • Shipping fees, including residential delivery and lift gate fees.
  • Installation, repair, or maintenance services that have already been performed.
  • Custom orders or special-request items.
  • Restocking fees of up to 15% of the product price, if applicable.

8. Cancellation and Refunds for Orders

8.1 Order Cancellations Before Shipping

  • Orders canceled before shipment are eligible for a full refund.

8.2 Order Cancellations After Shipping

  • Orders canceled after shipment will be treated as a return, and the customer is responsible for return shipping costs.

9. Refund Processing Times

Refunds are processed within the following timeframes:

  • Credit/Debit Cards: 10-15 business days after approval.
  • PayPal or Other Payment Platforms: 10-15 business days after approval.
  • Bank Transfers: Up to 20 business days after approval.
